Bookings from a Waldhart online shop and reservations from a reservation form are imported in the ski school program via the WS Import tool. Depending on the Setting, the bookings are imported straight into the Journal or into their own overview, the Online booking (default setting). Individual bookings and tickets can be edited via Online booking and transferred to the Journal.
If an event has been booked in the shop, the ticket is carried over into the booked event in the Calendar at the same time as it is transferred to the Journal.
Online booking
Online bookings can be called up via the Day Trading - Online booking menu or by double clicking on the OB symbol in the Task Bar. If the yellow warning symbol flashes, bookings, which have not yet been noticed, have been entered. The figure next to OB shows the number of bookings, which have not yet been transferred to the Journal and has nothing to do with new bookings.
Double clicking on a booking first of all opens the comment, if this is available, which has been entered by the customer in the shop in the Comment field. The comment can be edited here. When OK is clicked the window adds the booking details. This can now also be edited and transferred to the Journal by clicking on Print English or Save ticket without printout .
If a booking is to be edited, without being transferred to the Journal, it is edited by using the Edit booking icon. The booking details are subdivided in the Booking and Customer tab in the edit window.
The profile selected in the shop is saved as default in the booking comment. The ski school employees can then enter the profile in the online booking manually and in this way save it for the customer. If skiing level mapping to the Item Directory has been specified, the profile is already input in accordance with this for the customer.
The bookings can be transferred to the Journal with the following items:
As soon as the ticket is printed as a single ticket it is saved as a sale in the Journal. If one or more bookings are carried over (depending on marking) these are transferred together as a group into the Journal. Prior to the transfer a window opens, in which it is possible to confirm the sale by clicking on Save, without printing a ticket, or the ticket is confirmed by clicking on Print and the relevant tickets are printed.
Depending on the Setting the invoice date for each single ticket is requested prior to transfer into the Journal. If this has been set on the first day of the course or the date of booking, this request does not appear.
Reservations can be carried over preferentially into the shopping cart and from there saved in the Journal as reservations via Checkout. Of course, a different Method of payment for the ticket sale can be selected via this path and the sale concluded in this way.
Print list generates and releases for printing a list of all online bookings, the courses for which are held in a set period.
The bookings displayed in Online booking can be deleted, without generating a cancellation. To do this, select the relevant booking and delete it with the X icon. Once the bookings have been transferred to the Journal there is no alternative to cancelling them.
Because of the duty to keep records and the consecutive invoice number, which is automatically generated in the online shop, it is recommended that online bookings are always transferred to the Journal and then cancelled. It is not advisable to delete the booking, since this causes the consecutive invoice numbering system to become confused.
Online booking bar codes
Bookings from the online shop include two bar codes. The order code is the SO or OB number and relates to the entire booking process. This means that all the bookings, which have been placed together in the shopping cart and purchased in one transaction, have the same order number. The SOD or OBD number relates to the individual course or item, which has been booked. SO/SOD numbers are sales; OB/OBD numbers on the other hand are reservations.
This code can be found in the yellow Search Field in the Sales window (e.g. in the template for the booking confirmation by the customer). When the bookings, which appear, are saved they land in the shopping cart for further editing. WARNING: If the lines in the shopping cart are deleted, the booking is lost. Once a sale has been concluded, Ticket number search can also be used to find the order and bar codes.
