In the Tools main menu various settings can be specified for the PC, the program and the database. There is also a Test Mode among the features here. If this is activated, a test booking can be performed.
Selection of branch
This is where the allocated branch can be added, changed or deleted for every device or every PC (=identification, computer name). Other PCs can also be added manually, provided that the names of the devices are known.
If no branch is specified, the branch field on the relevant PC is cleared and the setting is saved by clicking on the diskette symbol.
(Program) Settings
The (program) settings are divided into three sections: Ski School, Branch and Computer.
Settings in the Ski School section affect the entire WS Skischule program. Therefore, these settings also affect the server and all the client servers, which use the same database.
Settings in the Branch section affect all PCs, which are assigned to those branches.
Settings in the Computer section affect only the PC, on which the settings are adjusted. This is also where the Printer for A4, receipts, tickets and the printing of labels is stored and Print Preview for tickets is activated or deactivated.
Test Mode
Test Mode is activated under Tools – Test mode – Activate. Test bookings are generated in the live operation, which is why these are also documented in the Journal in italics with a pink background. Everything, which is edited in test mode, remains in live mode; this includes therefore the Journal entries for each ticket sale or cancellation. However, sales in test mode do not appear in the sales reports and therefore generate no sales figures. Printing of tickets, receipts, invoices etc. from test bookings is identified by "Test System", "TEST" or "Training Document".
Once the test booking has been concluded, the program is switched back into live operation with Tools – Test Mode – Deactivate. Any subsequent printout of a test booking is additionally identified by "Test".
Test bookings can be edited and cancelled only in Test Mode and conversely live bookings can be edited and cancelled only in live operation.
Basic Configuration
Under Basic Configuration in the main menu all the basic installations, such as Group Type, Folder, Profile, Text Blocks, Meeting Place, Lesson Times, Payment Method, etc. are regulated. These configurations should be implemented prior to the start of the season; however, they can be adapted at any time.
Salutation
This is where the salutations for guests, ski instructors, etc. are saved in a variety of languages. The appropriate gender can be allocated to each salutation. If a guest is saved with gender already allocated, the gender is automatically recorded and stored with the guest's or customer's details.
It makes sense to generate salutations, if WS Skischule is also used as an address database for newsletters and other mailings.
Item type
This is where item types and their serial numbers can be edited. This function is used for assessing addresses for despatching newsletters.
Company
This is where the VAT registration numbers for various companies are stored.
Group type
This is where group types are installed and edited. The group types are used in the Item Directory, for Approximate allocation, in the Report, for Ski Instructor Statement, in Guest Races and in the Calendar.
The group description and colour can be assigned only once. For each group type an abbreviation (superordinate assignment of group types), meeting place and time, as well as course times and a pre- and post processing time, which should be credited to the ski instructor (CAUTION: only in 15-minute cycles), can be stored.
Internet category
The Internet categories are used only for reservation forms. So that items for the item list can be exported, they must be assigned an Internet category.
Ability
The levels of ability must be individually adjusted for each ski school.
The various levels are used in the calendar for group courses, ski instructor statement and for the report on extended classification of the group.
Course attributes
This is where individual additional services or further information on courses can be saved. In order to assign these to a course, there is a function with the same name in the shopping cart and the calendar.
Folder
This is where the tab names for the sales window are determined and adjusted.
By double clicking on the line for the name the back ground colour for the sales tab can be determined (provided that no user-defined colours have been stored).
Profile
This is where the profile, which is used to classify the ability of guests and ski instructors, is saved and adjusted.
The serial numbers affect the layout of the profile. During a sale under Profile the number of participants expected by the ski school per level/profile is quickly identifiable.
WARNING: For online bookings only one profile is entered for the ticket, if the relevant mapping has been carried out in the Item Directory. The profile names are specifically based in the online shop and are mapped to link to the profile in WS Skischule.
Ski area
The ski areas entered here can be used in the Calendar and in Approximate allocation. For example, this makes allocation of ski instructors to ski areas possible.
Ski Instructor - Function
This function is used internally to classify the ski instructors and to report to the health insurance company. Examples of possible ski instructor functions are: Head of Ski School, Dual Diploma, Level 3 Instructor, Children's Coach, etc.
Ski Instructor - Category
This can be recorded for ski instructors in the Internal tab. In the calendar the category is displayed in the ski instructor information, e.g. temporary employee, full-time instructor, etc.
List of countries
All the countries in the world are listed here according to serial number. The short form, full form, vehicle registration, area code, etc. of the individual states can be adjusted by preference for every ski school.
Status
This is used for the ski instructors and describes the position or availability of the instructor within the ski school (internal tab), e.g. temporary instructor, chief ski instructor, etc.
Appointments
This is where periods can be entered and added to a selected item in the shopping cart in Sales. The deadlines affect the start and end of courses, but not the specified duration.
Text blocks
Scripts and standard texts for Offers, confirmations, Invoices, post scripts, e-mails, etc. can be stored in Text Blocks. To insert a text block or a script, press Ctrl + J and then double click to select the block.
When the saved abbreviation and Ctrl + J have been entered, the text block is inserted directly into the text.
Transfer
This is where various transfer stops and routes, e.g. a bus route between meeting places can be stored and activated or deactivated.
Meeting place
This is where the course meeting places are entered and edited. The layout follows the serial number.
Only the meeting places entered here can be selected from the Sales Window.
Accommodation
Accommodation can also be found in the navigation bar under Addresses – Accommodation. This is where accommodation can be entered and extended with contact information, award of discounts, commission and other freely definable fields.
Time of Lessons
This is where the most frequent meeting times and lesson times are saved. These are accessed in Item Sales, Item Directory and Calendar while entering the course details, etc. by right clicking into the meeting or lesson times field; double clicking on the selection of time automatically saves the information.
Currencies
This is where various currencies for ticket sales, including the rates of exchange, are installed and edited.
The rates of exchange do not update automatically.
Payment method
All the methods of payment required for ticket sales, payment, cancellations, etc. are stored here. The payment methods can be edited or extended here. Cash sales are payments with credit cards, Euro cheque cards, in cash and with vouchers and must be marked accordingly. Receipts are automatically printed for all cash sales or cancellations.
WARNING: The payment methods, Undefined, Open and Split Payment are standard settings, which must not be deleted.
The ticket sales layout is dictated by the serial number assigned.
